A patient finds your clinic on Instagram at nine in the evening, likes what they see, and sends a message asking what a cleaning costs. Nobody is at the front desk. The message sits there until the morning, gets answered at 11:40 between two appointments, and by then they have booked somewhere else. Nothing was wrong with your prices, your reviews or your treatment. The gap was the problem.
The window is shorter than it feels
People who message a clinic are usually messaging more than one. Whoever answers first gets to shape the conversation, and very often gets the booking. The drop is steep, and it starts within the first hour.
| Time to first reply | Messages that end in a booking |
|---|---|
| Under 5 minutes | About half |
| Within the hour | Roughly a third |
| Next morning | Closer to one in ten |
The exact numbers move by treatment and by city, but the shape never does. A reply in minutes is a different business from a reply tomorrow, and evenings and weekends are when most people write.
Three leaks, in order of size
1. The evening message
The largest one. It arrives after closing, it is read the next day, and it is answered once the morning list is done. The patient has had twelve hours to go somewhere else, and often has.
2. The missed call nobody returns
A missed call during a treatment is a patient who is ready to book right now. If nothing calls back or messages within the hour, that intent is gone, and it does not show up in any report: a missed call leaves no trace to count.
3. The answer that stops one step short
"Hi, a cleaning is 80 €." True, helpful, and the conversation dies there. The reply that books says the price and offers two times: "80 €. Thursday at 14:30 or 16:00, which suits you?"
My team just shows up and treats patients. The replies happen without us.
What fixing it looks like
You do not need a bigger front desk. You need every message on every channel to get a real answer in seconds, at the hours when people actually write, and for that answer to end with two times to choose from.

That is what Filo does: it answers on WhatsApp, Instagram and Messenger, offers the slots that are free in your calendar, books the appointment and sends the reminder the day before. You approve what you want to approve and see the bookings arrive. If you want to see it on your own clinic, book a demo.
